Communication
Information Black Hole
Information Black Hole is when the lack of centralization and organization of information causes important data to be lost or inaccessible. This makes it difficult to monitor the project and obtain detailed information.
Context
Environments with multiple fragmented communication tools (e.g. WhatsApp, e-mail, private chats) and no single channel or repository of record.
Problem
Information enters the system through informal conversations, but is never consolidated anywhere accessible to whoever needs it later.
Consequences
- Loss of historical context about decisions and discussions.
- Rework to reconstruct information that had already been discussed.
- A sense of misalignment between teams and leadership.
Observed signs
Symptoms
- Decentralization in communication.
- Lack of knowledge of the flow of information.
- Difficulty in monitoring the project.
- Difficulty in obtaining detailed information.
What to do about it
Mitigation strategies
- Designate a single well-structured page in Confluence with clear ownership.
- Implement documentation standards with templates and tagging systems.
- Prefer transparent communication channels like Discord over private messages in WhatsApp.
- Automate meeting minutes and conduct weekly documentation health checks.
